Incumbent provides direct supervision of scheduler and administrative support staff at assigned therapy work location a! s well as has a dotted line responsibility to schedulers in other Rehab locations. Dotted line responsibility to other Rehab clinics will ensure standardization of training and procedures, as well as maintaining adequate staffing among clinics for sick, vacation or vacancies. Responsible for ensuring the effective operation of the day to day activities of the Rehab clinics including: planning, organizing, scheduling, and controlling the scheduler desk workload, acting as the liaison between billing, fiscal and access services, implementing changes in workflow and Healthlink upgrades across the department to standardize processes and maintain compliance. Incumbent frequently interacts with representatives from other departments, such as Human Resources, Payroll, Purchasing, the Academic department, Billing, Fiscal, Access Services, and Administration. Acts as the coordinator of prior authorization for Rehab services. Identifies areas for improvement with regard to department! al policies and procedures and develop plans for improving the! quality of these processes. Provides direct customer service to patients and staff as needed. Responsible for training needs of Administrative and scheduler staff. Maintain adequate staffing across the Rehab department scheduling desks and will take a lead role in implementation of centralized scheduling for Rehabilitation in Healthlink and centralized phone triage.
Responsible for preparing department budget reports, managing phone reports and maintaining departmental policies and procedures.
Qualifications
1. High school diploma or equivalent required.
2. Minimum of three years of progressively responsible administrative experience, including one (1) to two (2) years in a supervisory or leadership role, or equivalent combination of education and experience required.
3. Five years experience working in Outpatient Rehab, experience in multiple settings to include Neurological, Pediatric, ortho/sport and orthotic settings. Working with mul! tiple disciplines to include PT, OT , SLP and Orthotics. Experience/knowledge of Healthlink preferred.
4. Knowledge of basic patient care principles and practices.
5. Excellent verbal and written communication skills.
6. Knowledge of Medical Terminology
7. Knowledge of or ability to learn UWHC policies and procedures.
8. Evidence of excellent organizational and time management abilities.
9. Experience developing schedules, work assignments, work rules and policies is essential.
10. Ability to provide excellent customer service.
11. Ability to work and communicate effectively, both verbally and in writing, with a variety of individuals including nurses, physicians, patients and their families.
12. Expertise in the use of personal computers and relevant computer software applications, such as word processing, calendar, email, spreadsheets and Healthlink.
13Knowledge of and ability to use computers for entering appointment information an! d patient billing.
14. Ability to work under pressure in stressful ! environment and make decisions.
15. Effective leadership abilities. Ability to provide leadership, guidance and direction to lower level support staff.
16. Physical Requirements: Sedentary - Ability to lift up to 10 pounds maximum and occasionally lifting and/or carrying such articles as dockets, ledgers and small tools. Although a sedentary job is defined as one, which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required only occasionally and other sedentary criteria are met.
Pay
This is a Non-Represented position and falls into Pay Grade 5. The salary range begins at $38,091 per year. Education, experience, tenure and internal equity may be taken into consideration when job offers are extended.
Work Schedule
Monday through Friday, 7am to 5pm. Variable hours.
